PTA News and Event Reminders for the Week of April 16, 2018

  

Thank you to Dr. Scott Rubin, Superintendent of Schools, and Chief Greco and Detective Sergeant Matt Nazzaro of the Cranford Police Department who came and spoke about school safety last week.

 

RESULTS OF KIDS VOTE: K-7 graders used real voting machines on Friday to voice their opinion of their favorite season. Summer won by a landslide victory with 270 votes. Spring was second with 88, Autumn and Winter rounded out the pack with 42 and 41 votes. This was our first year using the voting machines (8th grade used them earlier in the year). We hope to continue this next year and will be looking for ideas on what the kids can vote for that they can actually influence. Thank you to Terri Hecht for all of her work on this!

NEXT YEAR’S PTA: We are getting down to the wire and we need some volunteers!! Our nominations for the PTA Board were supposed to take place on 4/11, but nobody was willing to be nominated. PTA Board elections are supposed to take place on May 22. We need a Board or the PTA will have to dissolve. If you are interested in being on the Board next year, please email us at hillsideavepta@gmail.com. See the end of this email for a list of positions and a brief description of them. Although I cannot serve as President next year due to other obligations I have, I am willing to serve on the Board and help next year’s President if the new President wants that help.

Brief descriptions of Board positions:

President:  head of the PTA, determines agenda for Board and regular PTA meetings, liaison with the administration, usually the representative at the PTC (Cranford-wide organization with reps from each school’s PTA, the principals of each school, and the superintendent).  Significant time commitment, but can be done by someone who has other responsibilities (job, other volunteer positions) if they are willing to delegate.

 

Executive Vice President:  2nd in command — no delineated responsibilities except to help the President and stand in President’s place when necessary.  This person can take on any of the duties the President does.  Ideally, this person would learn during their year of being Exec VP and move to Pres the following year, but this has not happened the past couple of years.  You could do Pres and Exec VP as Co-Presidents if that’s how the 2 wanted to approach the roles.

Vice President of Events and Activities:  makes sure there is a chair for each activity and lets that chair know what to do broadly (sets up the Sign Up for the chair and lets the chair know how we use Sign Up and then publishes the Sign Up on the PTA’s page, lets the chairs know that contracts have to be signed by the President, and how to get reimbursed for expenses), and specifically by giving the “blue folder” that has been created in the past for an event to the new chair.

Recording Secretary:  takes minutes during the general PTA meetings and the Board meetings and types them up and puts them together to be distributed to the PTA or Board respectively.  Requires the person to be at most meetings (because if they are not there, someone else will have to take the minutes)

Corresponding Secretary:  sends cards and other correspondence as appropriate for the PTA, and keeps the HAS outdoor sign up to date

Vice President:  This position has varied from year to year depending on our needs.  We have had someone serve as an assistant to the Treasurer and someone else serve as another VP of Events and Activities.  This person was also in charge of Membership at one time, but we have made that a non-Board position the last couple of years.

Treasurer: maintains our bank account, reimburses members for PTA expenses, pays vendors, etc.  Does Treasurer’s Report monthly.  This requires a significant amount of time.  The person needs to be available to sign and issue checks (the President also has to sign the checks).  Knowledge of spreadsheets is helpful.  It is helpful if this person can be available the night of Tricky Tray to keep record of earnings and deposit the money in the bank that night.
